Step 8. Import a list of current properties

If you wish to import an existing list of properties to Board Clever you can do this via Settings > Import.

The importer requires a  Comma Separated Values (CSV) formatted text file in the following format:

The first line must contain the field headers like this:

"Client","Job Type","Task","Slip","Line 1","Line 2","Line 3","Town","City","County","Postcode","Lat","Lng","Assign To","Location","Status","Date","Notes","Price Override","Scheduled"

The data should be formatted as per this example with the quotation marks around the text fields"

"My Clients Name","Sales","Erect For Sale",,"123 My road",,,,"Manchester",,"M19 1EE",,,"driveruser1","Front of Property","open","2017-09-22","Some notes",5.99,"yes"

Any spreadsheet application will be able to Save or Export as a CSV file.

Client: Must be one the clients exactly as the name is in the system - named exactly the same

Job Type: Must be one of the types enabled in the system - named exactly the same

Task: Must be one of the task names which is assigned to the job type selected and must exist in the system - named exactly the same

Slip: If the task is a slip task this is required, if it does not exist it will be created.

Line 1: Must Exist

Line 2: Optional

Line 3: Optional

Town: Optional

City: Optional

County: Optional

Post Code: Must Exist

Latitude: Optional

Longitude: Optional

Assign To: Must be the exact username of one of the drivers

Location: Must match Board Location name exactly the same (for example Front of Property)

Status: Must by one of the following [ open / completed / invoiced / cancelled ] If setting as anything other than open make sure that Scheduled is yes (last field)

Date: Must Validate To Date in the form YYYY-MM-DD

Notes: Optional

Price Override: Must validate to float (a decimal) or blank. For example, 0 / 1.25 / 5.88

Scheduled: Must be one of the following [ yes / no ] - Most of the time this will be yes, you would only choose no if you wanted to push the jobs into the unscheduled list.

Tips

The import routine will create Jobs and the first stage 1 Task (erect board) for each address location. The Task will be set to the status you assign.

If you wanted to import a list of boards currently in place, but those jobs had already been invoiced and you didn't want them to be invoiced again then you'd set the status to be invoiced. These boards would still show in the Boards Up.

Using Microsoft Excel

Dates

Excel will reformat your dates by default to the incorrect style. In the current version of Excel you can format the date fields by right clicking the top row column letter and select format cells. Choose Date and you should see the required format in the list. You can see it highlighted in this screenshot:

Exporting

When exporting the CSV file from Excel you must ensure it has the delimiter set as a comma and the Text qualifier has a quotation mark " in the box.
